Who this notice covers

This notice applies to people who visit our website, correspond with us, receive a professional research, business-development or marketing approach from us, or voluntarily participate in a research conversation.

Information we may use

Depending on how you interact with us, we may use:

  • your name, professional role, organisation and published professional contact details;
  • information shown on official organisational websites, professional pages, directories, vacancy pages or other relevant public sources;
  • emails and other correspondence with us;
  • your communication preferences, including whether you responded, declined, objected or asked not to be contacted again;
  • limited notes from a voluntary research conversation, normally the organisation name and a concise high-level operational theme you choose to describe; and
  • limited technical information generated when the website is requested, such as an IP address, browser information and request logs processed by our hosting provider for delivery and security.

We do not ask research participants to provide confidential information, personal information about other people, or sensitive information such as health, ethnicity, religion, political opinions or trade-union membership. Please do not provide this information. If we receive it unexpectedly, we will assess whether it should be deleted.

Where information comes from

Information may come directly from you, from someone who refers or routes our enquiry, or from relevant public professional sources. These sources may include official organisational websites, professional profiles, directories, vacancy pages and other publicly available business information. Our research process generally favours official organisational pages and published professional contact routes. We do not infer unpublished email addresses.

Why we use information and our lawful basis

We may use professional contact information, correspondence and limited research notes for the following purposes:

  • to identify and contact selected professionals and organisations for business research, lead generation, business development and direct marketing;
  • to request voluntary research conversations and understand recent real-world organisational processes;
  • to compare themes, evaluate business opportunities and decide whether an investigation should continue;
  • to develop, improve or reject potential Relicare products and services;
  • where relevant, to contact an organisation later about a Relicare product or service that may relate to the organisational context originally researched;
  • to respond to enquiries and manage professional correspondence;
  • to administer and protect our website, systems and records; and
  • to establish or defend legal claims and comply with legal obligations.

For proportionate business-to-business research, lead generation, business development and direct marketing, we normally rely on our legitimate interests. Those interests are understanding organisational needs, evaluating and developing commercially credible services, communicating with relevant organisations and growing Relicare’s business.

Before relying on legitimate interests, we consider whether the use of personal information is necessary and balance Relicare’s interests against the individual’s interests, rights and reasonable expectations. We limit outreach to relevant professional contexts, use only information reasonably required for the stated purposes, explain our identity and purpose, provide a simple way to object and avoid requesting confidential or sensitive personal information.

Where processing is necessary to comply with a legal obligation, we rely on that legal obligation. In limited circumstances, processing may also be necessary to establish, exercise or defend legal claims.

Research participation

Participation in a research conversation is voluntary. You may decline to answer any question or end a conversation at any time, without adverse consequence. No product or service is offered during the initial research conversation. However, the approach forms part of Relicare’s wider business research, lead generation, business development and direct-marketing activity. Information you voluntarily provide may help us understand organisational needs, evaluate and develop potential services and, where relevant, contact the organisation later about a Relicare product or service.

We do not treat participation in a research conversation as consent to unrestricted future marketing. Any later contact must remain relevant, identify Relicare and provide a simple way to object. We do not record or transcribe research conversations, and our process is designed not to include a participant’s name in the interview note.

Sharing and service providers

Information may be accessed by authorised Relicare personnel and by service providers that support website hosting, email, document storage and research administration. We may also disclose information to professional advisers, regulators or public authorities where reasonably necessary or legally required.

We do not sell personal information. We do not provide research-contact information to third parties for their own advertising.

International transfers

Some technology providers may process information outside the UK. Where UK data-protection law requires a transfer safeguard, we assess the provider's arrangements and use an applicable mechanism, such as UK adequacy regulations or approved contractual safeguards. You may contact us for information about safeguards relevant to your information.

How long we keep information

We normally delete unanswered outreach records and identifiable correspondence within six months of the last contact unless they remain reasonably necessary for an active investigation, legal obligation or dispute. We review organisation-linked interview notes every six months and normally anonymise or delete them within 12 months, or sooner when the investigation closes.

We may retain anonymous or aggregated research themes that no longer identify an individual. If someone objects to direct marketing or asks not to be contacted again, we may retain a minimal suppression record for as long as reasonably necessary to ensure that we respect that request. Suppression information is used for that purpose and not to continue marketing.

Your data-protection rights

Depending on the circumstances, you may have rights to request access to your personal information, correction of inaccurate information, deletion, restriction of processing or transfer of information you provided to us. You may also object to processing based on legitimate interests. These rights do not all apply in every circumstance. Where we rely specifically on consent for a separate activity, you may withdraw that consent at any time.

Automated decisions and cookies

We do not make decisions about people with legal or similarly significant effects using solely automated processing, and we do not profile research participants.

This website does not currently use analytics, advertising cookies, forms or external tracking scripts. Our hosting provider may process limited request logs needed to deliver and protect the website.

Questions, requests and complaints

To ask a question, exercise a data-protection right, object to direct marketing or ask us not to contact you again, email hello@relicareuk.com. There is no charge for objecting to direct marketing.

You also have the right to complain to the Information Commissioner’s Office about our use of your personal information. Information about making a complaint is available at ico.org.uk.

Changes to this notice

We may update this notice when our research practices, service providers or legal obligations change. The date at the top shows when it was last updated.
